Time tracking

sol2flow lets you log the time you spend on tasks — with a running timer or by typing entries in — and compare it with an optional estimate. Your timesheet shows your week, month or year, and the report and exports summarise time across the workspace.

Who can do what

Who
Start a timer, log time, set estimatesEditors and board admins of the task's board
See a task's total timeAnyone who can see the task
See everyone's entriesWorkspace admins (whole workspace); board admins (their boards)
See your own entriesEveryone, on boards they can open
Edit or delete an entryOnly the person who logged it

Viewers can't log time, and archived boards and tasks are read-only. Admins can look at other people's time but can't change it — a correction always goes through the person who logged it, so nobody's timesheet changes behind their back.

The timer

You have one timer. Starting it on a task starts counting; stopping it logs the time as an entry.

To start a timer:

  • On the task page, choose Start timer in the Time section, or
  • on a board, choose ▶ on the card (on touch screens, in the card's ⋯ menu).

While it runs, the timer is visible everywhere: in the task's Time section ("Running · 00:12:34"), in the sidebar footer on every page (on phones, in the top bar), and on the task's card. Choose Stop in any of these places to stop it. The timer keeps running when you reload the page or close the browser.

Switching tasks: starting a timer on another task automatically stops the one that's running, and logs its time. The toast says, for example, "Stopped PRD-3 after 1h 12m · started PRD-7", with Undo in case you didn't mean to switch.

A timer stopped after less than a second isn't logged.

Log time by hand

To add time you didn't track with the timer:

  1. Open the task and choose Log time in the Time section.
  2. Set the start (date and time) and either the stop (Ends on date and time) or the Duration. The fields keep each other in step: change the start or stop and the duration updates; change the duration and the stop moves.
  3. Optionally add a Note ("What did you work on?").
  4. Choose Log.

The duration accepts many formats, such as 1h 30m, 90m, 1.5h, 1,5h or 1:30. A plain number means hours. An entry can be from 1 minute to 24 hours long, and the stop can't be before the start. Times are in your time zone.

You can log as many entries on the same day as you need.

Entries on the task

The Time section lists the 5 newest entries you may see, each with who, the exact start and stop, the duration and the note. Choose View all time to open the report filtered to the task.

To change or remove one of your own entries, use Edit entry or Delete entry.

Board admins also see the time per person. Everyone else sees their own share next to the total, for example "You: 2h 15m · Total: 5h".

Estimates

An estimate is how much work you expect a task to take.

To set one:

  1. In the task's Time section, choose Set estimate (or Change estimate). You can also set it in the New task dialog or with Set estimate… in the card's ⋯ menu.
  2. Enter a number (decimals are fine, like 1.5) and pick a Unit: Minutes, Hours, Days, Weeks, Months or Years.
  3. Choose Save, or Clear estimate to remove it.

Estimates count working time: by default 1 day = 8 hours and 1 week = 5 days; 1 month = 4 weeks and 1 year = 12 months. Workspace admins can change the hours per day and days per week in Settings → Workspace → General → Working time. A hint under the field always shows the workspace's current basis.

The working-time basis is only a unit. It never limits how much you can log — logging 10 hours on a 1-day estimate is fine.

Once a task has an estimate, the Time section and the card show progress, for example "3h 10m of 5h". When more time was logged than estimated, the bar is full and marked as over, for example "40m over".

Timesheets

Choose Timesheets in the sidebar. It has two tabs: My time and Report.

My time

Switch between Week, Month and Year, and use the arrows or This week / This month / This year to move between periods. Every view shows the period total. The page address includes the view and period, so you can bookmark or share it.

Week: one row per task you logged time on that week, one column per day, with totals per task, per day and for the week.

  • Click a cell to see that day's entries on the task, edit or delete them, or log more time for that day.
  • Choose Add task to add a row for another task you can log time on (search by key or title). Tasks assigned to you are listed first. The row stays for this visit; after a reload only tasks with time that week are listed.

Month: a calendar with the total for each day. Click a day to see all its entries. Beside the calendar (below it on narrow screens), totals Per board and Per task.

Year: twelve month tiles with their totals (click one to open that month), and a table of boards and tasks by month.

Whose time: you see your own time by default. Workspace admins and board admins get a person picker to view someone else's time — read-only, and only within what they're allowed to see.

Report

The report summarises time across the workspace.

  • Range: This week, Last week, This month, Last month, All time or Custom (From / To).
  • Filter by Board, Person or a single task.
  • Group by Day, Task, Board or Person.

It shows the total and the number of entries, then the groups, then a list of every matching entry with person, task, exact start and stop, duration and note. Running timers show as "running" with a live duration, but aren't counted in the totals until they're stopped.

Members only see their own time in the report. Workspace admins see everyone's; board admins see everyone's time on the boards they administer.

Export timesheets

Every timesheet view and the report can be exported as CSV, Excel or PDF. The export covers exactly what you're looking at: the period (or report filters) and the person shown.

  • CSV — one row per entry with date, start and stop, duration, time zone, person, workspace, board, task key and title, and note. Opens in any spreadsheet.
  • Excel — an "Entries" sheet with real date and duration cells and a total, and a "Totals" sheet per person and per board.
  • PDF — a printable timesheet per person, with daily totals, the period total and, for several people, a summary page.

Export time zone: next to the export buttons you can pick the time zone the export uses for times, days and totals. It defaults to your own time zone and remembers your last choice in this browser. The export always states the time zone it uses.

note

Running timers aren't exported — stop a timer first if you need its time in the file. Archived tasks are included and marked as archived.

Good to know

  • Logging time or stopping a timer shows in the task's activity ("logged 1h 30m on PRD-3"). It doesn't send notifications.
  • Archiving a task stops any timers running on it and keeps their time.
  • Deleting a task hides its time entries; restoring it brings them back.
  • If someone's account is deleted, their time entries stay, shown as "Deleted user", so reports remain correct.
