Notifications
sol2flow keeps you up to date in two ways: in the app, through the bell and the notifications page, and — if your instance allows it — with a short email summary of what you missed.
What you're notified about
Tasks you're assigned to or a member of. When someone else edits, moves, comments on, replies on, archives or deletes such a task, changes its dates, labels, assignees or checklist, you get a notification. You're a member of every task you create, and you can follow any task you can open. You're also told when a task of yours gets blocked by another task, or no longer is.
You personally, when someone:
- assigns you to a task, or removes you from it;
- adds you as a member of a task, or removes you;
- @mentions you in a comment, a reply or a description;
- replies to your comment (even on a task you're not assigned to);
- archives a task and stops your timer on it (the time is kept).
Invitations and memberships, when someone:
- invites you to a workspace or a board;
- adds you to a workspace or board, changes your role, or removes you;
- leaves a workspace you administer, or asks to join it.
Your account and data, for example when a data export is ready, a workspace you administer was deleted, or someone reset your two-factor authentication.
You're never notified about your own actions.
The bell
The bell sits in the sidebar footer (on phones, in the menu). A badge shows how many unread notifications you have.
Open it to see your latest 10 notifications, unread ones highlighted. Each shows where it happened ("workspace › board") and when.
- Click a notification to open its details; it's marked as read.
- Mark all as read clears the badge.
- View all opens the notifications page.
An invitation shows Accept and Decline right in the bell.
The notifications page
Choose View all in the bell (or Notifications in the user menu) to see all notifications, grouped by day.
- Use All and Unread to filter.
- Each row shows who did what, where (workspace › board › task), and when. The Emailed marker means the notification was included in an email.
- Mark as read / Mark as unread on each row, and Mark all as read for everything.
- Older notifications load as you scroll.
Notification details
Clicking a notification opens its details:
- who did it and exactly when;
- where — the workspace, board and task;
- What changed, where known — for example "Due date: Oct 3 → Oct 5", "Moved: To do → Done", "Labels: +Bug −Feature", or the comment itself;
- a button to Open task, Open board or Open workspace.
Several quick changes by the same person on the same task are combined into one notification with a count, such as "edited PRD-3 (3×)".
When you've lost access
If you can no longer open a task, board or workspace — for example because you left it — its notifications stay, with the names as they were at the time, but without details or links: “PRD-3 “Fix login” — you no longer have access to this task”.
How long notifications are kept
Read notifications are removed automatically after 90 days.
Email summaries
If your instance's administrators turned on task-update emails, sol2flow sends you a summary of the notifications you haven't read yet. It doesn't send one email per change: it waits until things have been quiet for about 10 minutes, and while work continues sends at most one email an hour.
- Anything you've already read in the app is left out.
- The email groups changes by task, then lists other updates (such as memberships) under Other updates.
- It's written in your language, with times in your time zone.
To turn the summaries on or off:
- Open Settings → Notifications.
- Switch Email me about task updates on or off.
If the switch is disabled with the note "Task update emails are turned off for this instance", your administrators haven't enabled these emails. You also need an email address on your profile.
Email notifications can also depend on the plan of a workspace's organization. If a plan doesn't include them, you get that workspace's notifications in the app only, and Settings → Notifications lists those workspaces in a note, for example "The plan of Northwind doesn't include email notifications: you get its notifications in the app only."
Some messages are always emailed on their own, independent of this setting and of the plan: invitations, account approval, billing emails, security notices (such as a new passkey or a changed password), exports that are ready, and deleted workspaces. Password resets and email confirmations are sent by email only.
