Import from Trello or Kan, and export
Moving from another tool? sol2flow can import your boards from Trello and Kan (kan.bn or a self-hosted Kan server), with their lists, tasks, labels, checklists, comments and attachments. You can also export any board, or a whole workspace, to take your data elsewhere.
Import from Trello or Kan
Only workspace admins can run imports. The import wizard lives in Settings → Workspace → Import & export. You can also start it from the boards overview: choose Import, then From Trello or From Kan. In a new workspace without boards, choose Import from Trello or Kan.
Nothing changes in the source tool, and nobody is invited or notified — you decide who is who in sol2flow.
Step 1: Source
Pick where the boards come from:
- Kan — kan.bn or your own Kan server, with an API key.
- Trello — connect with a Trello API key and token. This is the most complete option.
- Trello JSON file — upload a board export.
Step 2: Connect or upload
Kan:
- In Kan, open Settings → API, choose Create API key, give it a name and copy the key (it starts with
kan_and is shown only once). - In sol2flow, keep
https://kan.bnas the Kan address for Kan Cloud, or enter your own server's address. - Paste the API key and choose Connect.
- Every Kan version works, Kan Cloud and self-hosted: sol2flow sends the key the way old and new Kan servers expect it.
- The key acts as you: it sees the workspaces and boards you see in Kan. Use the key of a member of the Kan workspace whose role may view cards.
- Kan limits how many requests a key may make, and a key keeps the limit of the Kan version it was created with. Keys created before Kan 0.4.7 allow only 10 requests a day: create a new key. Up to Kan 0.6.0 a key allows 100 requests a minute; on big boards sol2flow then pauses for a minute now and then, so the import takes longer but stays complete.
Trello (API):
- On trello.com/power-ups/admin, open your Power-Up and copy its API key.
- Generate a Token next to your API key (read access is enough).
- Paste both into sol2flow and choose Connect.
Trello JSON file:
- In Trello, open the board's menu and choose Print, export and share → Export as JSON. Save the file.
- In sol2flow, drop the file into the upload area or click to choose it (up to 50 MB).
sol2flow shows a summary of what's in the file: lists, tasks, comments and attachments.
Your keys and tokens are only sent to Trello or Kan. sol2flow keeps them encrypted while the import runs and deletes them when it ends.
Step 3: Boards
For Kan and the Trello API, sol2flow lists every board your account can see, grouped by Kan workspace or Trello organization. Archived boards are marked; Kan board templates aren't listed. A board without a name is called "Untitled board". Tick the boards to import (or Select all). You can import up to 50 boards per run.
Step 4: People
sol2flow lists everyone the chosen boards mention — members, assignees and comment authors — and suggests a matching member of your workspace for each. Kan people are matched by email; Trello people by username or full name (Trello doesn't share email addresses).
- Check each match, change it, or choose Leave unassigned.
- Under Access to the new boards, pick:
- Restricted: you and the matched people — you become board admin and the matched people editors, or
- Everyone in the workspace.
Nobody is invited. Matched people become assignees, task members and comment authors. For comments by unmatched people, the comment starts with "Originally by" and their name. Unmatched assignees are dropped.
If some people aren't in your workspace yet, add them first (see Members and sharing), then run the import so they can be matched.
Step 5: Start and follow progress
Choose Start import. The page shows the progress: the status, a bar over the tasks, live counts, and a line per board with Open board when it's done. Any Problems are listed and can be expanded. You can leave the page — the import continues — and come back later through Recent imports.
Only one import can run at a time in a workspace.
What comes over
| From the source | In sol2flow |
|---|---|
| Board (archived or not) | Board (archived if it was archived) |
| Lists, in order | Lists, in order (closed Trello lists are archived) |
| Cards | Tasks with title, description, dates and archived state |
| Labels | Board labels (or an existing label with the same name), with the nearest preset colour |
| Checklists | Checklist items. With several checklists on a card, each item starts with its checklist's name. |
| Comments | Comments with their original date |
| Uploaded attachments | Attachments |
| Link attachments (Trello) | Links in the description |
Descriptions and comments keep their formatting. Mentions become plain text.
If an attachment can't be downloaded, it's listed as a problem and linked in the task's description instead — the import carries on.
If Kan doesn't hand over a card's comments and attachments, the task is still imported with everything else, and the problem list says which card it was. Only when Kan refuses the key for a whole board does that board fail. The problem then names the request and Kan's answer, for example "Kan refused the API key for the board (HTTP 401)": check that the key is yours, that you're a member of that Kan workspace, and that the key isn't one of the old ones with a daily limit.
Importing again
You can run an import of the same boards again later: it adds only what's new — new lists, cards, labels, checklist items, comments and attachments. Nothing is duplicated.
A re-run never changes what was imported before. Titles, descriptions, dates or lists you changed in sol2flow stay as they are, and things deleted in the source aren't deleted here. A board you deleted in sol2flow is imported afresh.
Limits and known gaps
- Up to 50 boards per run, 50 lists per board and 10,000 tasks per board. Anything beyond is skipped and listed as a problem.
- Trello JSON exports only contain the latest 1,000 actions, so older comments are missing. Uploaded files in an export often can't be downloaded without your Trello login; they're linked instead. Use the Trello API import to get everything.
- Trello custom fields, card covers, stickers, votes, "due complete", and due dates or members on checklist items aren't imported.
- Kan cards have no archived state or start date.
- A Kan server on your own network can only be reached if the instance's administrators allow connections to private network addresses.
Import a single board from a file
For a quick one-off import, the boards overview also accepts a single file: choose Import, then From a JSON file… (people who can create boards but aren't workspace admins get this dialog straight from Import).
- Drop a sol2flow export (
.sol2flow.json) or a Trello board JSON file, or click to choose one. - Check the preview. It warns if some assignees aren't members of this workspace; they're left out.
- Confirm to create the board.
Export a board
Board admins can export a board from the board's menu:
- Export as JSON — a complete sol2flow export of the board that you can import again, here or on another sol2flow instance.
- Export tasks as CSV — a spreadsheet of the board's tasks.
Archived tasks are included and marked as archived.
Export a whole workspace
Workspace admins can download everything in a workspace as one ZIP file:
- Open Settings → Workspace → Import & export.
- Choose Export workspace.
- sol2flow prepares the export in the background. You get a notification and an email when it's ready.
- Choose Download.
The ZIP contains the boards, tasks with their descriptions (as Markdown and in sol2flow's own format), checklists, comments and replies, activity, time entries (as CSV) and all attachments. Member email addresses are left out. Archived boards and tasks are included and marked; deleted ones are not.
Only you can download the export, for 7 days.
Workspace export is always available. To download your own personal data instead, see Account and security.
